Community and Resident Profiles
One of the most import aspects of Roompact’s software is that it allows collected information to be collect and viewed in multiple ways. The View Buildings/My Locations feature allows you to visually navigate your campus from the building down to the resident level.
Note that Roompact’s language of “Buildings,” “Floors,” “Suites,” and “Rooms” may not align with how you use them on your campus. For example, sometimes, for multi-building complexes, the entire complex could be a Roompact “Building” and the sub-buildings are Roomapct “Floors.” Additionally, floors may be more aligned with staff responsibility instead of the exact physical layout of a building.
After clicking into View Buildings/My Locations, the first screen will be presented with is your Building View. All buildings are represented by cards that include some summary information, such as the number of staff and residents in that building.
In the upper right of each building, you’ll notice a tag icon. This tag icon can be used to add additional contextual information about the building. Some of the common tags we see indicate the presence of a living learning community or an alternate building name. These tags can also be added to floors as can be seen in the next view. These tags are universal, so any tag added will subsequently be seen by all staff members.
After clicking into a Building, you will be presented with a list of Floors. Floors are represented by cards that include some summary information, such as the number residents on that floor, the staff responsible for that floor, and Roommate Agreement completion statistics. Note the presence of a “label/tag” icon, which can be used to label floors (just as was previously described in the case of Buildings).
Rooms and Suites
After clicking into a floor, you will be presented with a view of all the Suites and/or Rooms that make up that floor. The Suites and Fooms include a box that will indicate if a Suitemate or Roommate Agreement is complete for that suite or room. If a checkmark appears, that means the agreement has been completed.
Note that suites or rooms with only one resident will not get an Agreement and their box will remain unchecked.
If your Roompact environment is configured to display Suites, you can click into the suite to view more.
A box at the top of this page allows you to leave a Staff Note about the suite. Notes can be helpful for tracking interactions or issues related to the suite. You also have the ability to restrict the permission level of your note so it can only be viewed by specific levels of staff (Administrator, Hall Director, or Resident Advisor). Residents can never see any notes left here.
The Suite page also displays all of the history of any Staff Notes left on the suite, or any other action related to the suite, such as the completion of an agreement, a tag in a form, etc. Individual staff members can view the history according to their permission levels and the start date of their staff access.
At the top of this view, you can see each of the rooms that make up the suite. You can click on these rooms to be taken to the Room’s Timeline.
The Room Timeline functions similarly to the Suite Timeline. Staff members can see the history of interactions with the room and any notes that other staff members may have left. The residents of the room are displayed as cards at the top. Clicking on a resident will take you to that Resident’s Profile and Timeline.
There is one additional option on the room timeline page, the Status Update. Status Updates allow you to select a color from the drop down to change the way it appears. Colors can indicate anything you wish them too, but the most common use is for roommate conflict tracking or concerns.
The Resident Profile and Timeline functions similarly to those of the Suites and Rooms. Staff members can see the history of interactions with the resident and any notes that other staff members may have left. Additionally, you can see summary information about the resident and can also add a label/tag.
